Send Email
Send Email actions enables users to send personalized emails to customers, suppliers, and colleagues, directly from their messages. These emails can be simple text-based messages or branded templated messages with rich content.

Send Email actions support prefilled dynamic content and integrate with Salesforce's native Quick Text, saving time and ensuring standardized company messaging.
To create a ‘Send Email’ action, follow these steps:
- Navigate to the ‘Message Actions’ Tab (Act On It Lightning App > Application Settings > Message Actions) and click ‘New’.
- Select the ‘Act On It Template’ Record Type, choose 'Send Email' from the list of available Action Templates, and select 'Next'.

Configure your action button with the following details:
- Action Label: Provide a meaningful name for the action (e.g., 'Send Personalized Welcome', ‘Follow Up Email’, ‘Notify Manager', 'Send Confirmation', etc.). Customize the button further by selecting an icon from the ‘Icon Selection’ section.
- API Name: Choose a unique name for the action, without spaces or special characters (except underscores). This name distinguishes between similar actions with a matching label.
- Is Active: If inactive, the button will be disabled for all new and existing messages.
- Is Available: If enabled, the Message Action will be visible in the Message Type Builder.

Click 'Next' to proceed.
Email Recipients
Add one or more dynamic or static recipients.
- Static recipients are explicitly defined email addresses.
- Dynamic recipients are references to email fields in Salesforce.
To add a dynamic recipient:
- Choose a data type.
- Select an email field. You can travel up two levels to find your target field.
- Click "Confirm".
Here's an example of an action targeted to a Lead's email address.

Click ‘Next’ to proceed.
Email Content
Next compose your email message. Choose from two content types:
- Simple Text: Stand-alone rich text emails suitable for internal communications or external emails that do not require company branding.
- Template Based: Emails featuring a Lightning Email Template, perfect for external emails that require images or company branding.
Simple Text:
- Provide an email subject and body.
- To merge data into your message:
- Select a 'Merge Content Type'.
- Choose a 'Merge Field'
- Copy the field string into the relevant location in the email.

Template Based:
- Search for a Lightning Email Template with a matching data type.

- Your template can feature images, email signatures and merge fields. To create an editable section within the template, add the following personalization string:

Once added, a "Subject" and "Personalized Content" section will appear in your email action when your template is chosen. You can leave this section blank or add a default message to feature in your email. This content will appear where you have pasted the personalization string within the template.

Click 'Next' to proceed.
Email Settings
Configure the following settings:
- From Address Type: Choose a suitable FROM address:
- Sender's Email Address: The email address of the user sending the email.
- Org Wide Email Address: One of your company's Org Wide Email Addresses.
- BCC Sender: If enabled, the sender will receive a blind carbon copy of the email.
- Log in Activity History: If enabled, a record of the email will be logged in the Activity History of the email's related record. Only compatible for objects supporting activities.
- Preview before send (Recommended): If enabled, the user will be presented with a preview of the email before it is sent. If disabled, the email will be sent immediately.
- Enable edit before send: If enabled, the user can personalize the editable content before send.

Click 'Next' to proceed to the final step.
Preview & Test
Review your email and test any merge field references.
If 'Enable edit before send' is selected, click 'See Email Preview' to view a preview of the email and click 'Send Email' to send yourself a test copy.
Note: Some email service providers may block emails if they appear to be from your own email address. If so, we recommend testing with an Org Wide From Address.

When satisfied with your email action, click 'Save'. Your Message Action can now be applied to any Message Type with a matching data type. Admins can control which actions are accessible to users via their User Settings.
