
Salesforce storage is a finite and sometimes costly resource. As notifications fire over time, message records accumulate. Act On It's Data Management solution automatically archives messages after a globally defined retention period, keeping your org tidy without manual intervention. Use these settings to override the global default for this specific message type.
Never Delete β Records of this type are excluded from all automated deletion. Use this for message types where a permanent audit trail is required.
Delete After X Days β Records are retained for a defined number of days regardless of the global retention settings. Use this to apply a type-specific retention period that differs from the org default.
Inherit Global Default β Records are deleted in line with the globally defined retention settings. This is the recommended option for most message types.

Release Status
Set to Live to activate immediately, or Trial Mode to test without delivering messages to recipients. Trial messages are recorded for reporting purposes so you can validate behaviour before going live.
Display Location
For alert messages, choose whether to show in the Act On It inbox, on record pages via the Guidance Console, or both.
Expiration
Optionally set a lifespan after which the message automatically disappears from the inbox. Useful for time-sensitive alerts where an expired message has no value, keeping inboxes self-managing without manual cleanup.
Sender
By default, messages show the running user as the sender. Enable Customize Sender to display a fixed label instead, for example "Act On It", "System", or "Customer Portal". Useful for automated notifications where a personal sender would be misleading.
Salesforce Platform Events are a shared org-wide resource. High-volume notification types can consume a significant portion of that allowance, leaving less headroom for other processes that depend on the same infrastructure.
Act On It is one of the only native Salesforce notification solutions that can deliver near real-time alerts without consuming Platform Events.
Push (with events) β real-time delivery using Salesforce Platform Events.
Passive (without events) β near real-time delivery without consuming Platform Events. A short delay of up to 20 seconds may apply.
For most recipients the difference is imperceptible. Passive delivery is worth considering for high-volume notifications or organisations that want to preserve their Platform Event allocation for other integrations.
