Not all notifications are created equal. Some are vital for reporting, KPI measurement, and strategic insights. Others are purely functional and may not need to be retained long-term. With Act On It, you have flexibility to manage data retention based on notification type, ensuring that important data stays available longer while redundant information is removed sooner.

How to Use Act On It’s Data Management Feature

To get started, follow these steps:

Access Act On It Data Management

• Navigate to the Act On It application.
• Click the Application Settings tab.
• Select Data Management.

Monitor Your Data Usage

• View a detailed breakdown of Act On It’s record count, estimated data size, and its percentage contribution to your overall Salesforce storage limit.
• Below this summary, you’ll see the record count for each data type, allowing you to assess which message types consume the most space.

Choose Your Data Management Approach

• You can either delete data immediately or schedule deletions to manage your storage on an ongoing basis.
• The deletion process will respect the retention settings configured for each message type.

Customizing Retention Settings by Message Type

For even more control, you can customize retention settings at the message type level:

1. Navigate to the desired message type in Act On It.
2. Click the Additional Settings tab.
3. Choose your retention type:
   • Never Delete – These messages will be hidden from the deletion processor and will never be deleted.
   • Inherit Global Default – Messages will follow the global retention period specified when you create the deletion schedule (e.g., 30 days). After that period, they will be automatically deleted.
   • Delete After X Days – Set a custom retention period for this message type. This gives you the power to retain critical data longer and purge less relevant data sooner.
